Customer Coordinator

Smartoptics is a fast-growing international company in the fiber optics industry, and we are looking for a new colleague to join our Customer Coordination team. We are looking for someone who enjoys working with customers, solving problems and making things happen. You should be comfortable taking responsibility for your own tasks and cases, while also knowing when to involve colleagues from other parts of the company to find the best solution.

The role

As a Customer Coordinator, you will be an important point of contact for our customers, partners and sales organization.

You will handle customer inquiries and orders from start to finish and help ensure that our customers receive fast, accurate and professional support.

Your responsibilities will include:

  • Handling incoming questions from customers and partners regarding products, pricing, availability, orders and deliveries.
  • Preparing quotations and entering and managing customer orders in our ERP system.
  • Following up orders and coordinating internally to ensure that commitments to customers are met.
  • Helping customers and partners resolve issues and finding practical solutions when something does not go according to plan.
  • Working closely with Sales, Logistics, Operations, Support, Presales and other teams across the company.
  • Taking ownership of your cases and following them through until they are resolved.
  • Contributing ideas on how we can improve our processes and the customer experience.

Our customers and partners are located around the world, so you will work in an international environment with many different people and situations.

Who are we looking for?

For this role, your attitude, ability to solve problems and willingness to take ownership are more important than previous experience in the fiber optics industry. We will help you develop the product and industry knowledge you need.

We believe you are someone who:

  • Is service-minded and genuinely enjoys helping customers and colleagues.
  • Takes ownership and can work independently without needing detailed instructions for every task.
  • Is solution-oriented and enjoys investigating problems, finding answers and moving things forward.
  • Is structured and able to prioritize and manage several customer cases and orders at the same time.
  • Is comfortable making decisions within your area of responsibility.
  • Takes initiative and actively looks for solutions rather than simply passing a problem on to someone else.
  • Knows when to involve colleagues and can work across different teams to find the best solution.
  • Communicates clearly and professionally with both customers and colleagues.
  • Is curious and interested in learning about our products, customers and business.
  • Is a team player who willingly shares knowledge and supports colleagues.
  • Looks for opportunities to improve the way we work and the experience we provide to our customers.

Experience from customer service, sales support, order management, customer coordination or a similar role is an advantage.

Experience working with ERP systems is beneficial, but your ability to learn new systems and processes is equally important.

Previous knowledge of fiber optics, optical networking or transceivers is an advantage, but not a requirement. We are looking for someone who is curious and motivated to learn.

You should be fluent in English. Swedish is highly valued, and knowledge of any additional languages is considered an advantage, as we work with customers and partners around the world.
